Terms of Service
The agreement that applies when your unit uses ScoutKeep.
Effective September 26, 2026
ScoutKeep is operated by Alexander Kim, a sole proprietor doing business as ScoutKeep in Florida, United States.
This agreement
These Terms of Service are an agreement between you and Alexander Kim, a sole proprietor doing business as ScoutKeep in Florida, United States (“ScoutKeep”, “we” or “us”). They apply to ScoutKeep’s websites, the portal, unit websites hosted on ScoutKeep and related services (the “Service”). By creating a unit, signing in or otherwise using the Service, you agree to these terms. If you create a unit, you confirm that you’re authorized to agree to them for that unit.
Accounts
You must be at least 18 to have an account. Youth don’t sign in to ScoutKeep. Give accurate information, keep your sign-in methods secure and act only within the permissions your unit gives you. You’re responsible for activity under your account. Unit owners and administrators decide who can access their unit and what each person can do. One account can belong to several units; access to one unit never grants access to another.
ScoutKeep and your unit
ScoutKeep is an independent service for running a scouting unit. It isn’t affiliated with or endorsed by Scouting America or any other scouting organization, and it isn’t an official registration, advancement or youth-protection system. Each unit is responsible for its own activities, decisions, records and the content it publishes. These terms don’t replace your organization’s membership, supervision, safety or safeguarding rules.
Your unit’s information
Your unit keeps all rights to the information and files it puts into ScoutKeep. You give us permission to store, process, send and display that information only as needed to provide and support the Service. You’re responsible for having the authority to add information about other adults and about youth, and permission to upload or publish photos and other material. Don’t put private family, contact or health information on public pages. We don’t sell your information or use it for advertising.
Features, websites and integrations
Unit administrators choose which features to use and whether to publish the unit’s website. Turning a feature off keeps its records; turning the website off unpublishes it. If your unit connects Slack, Slack’s own terms also apply to your use of Slack. We may add, change or remove features. If a change would materially reduce what a paid subscription includes, we’ll tell unit owners in advance. Features described as coming soon aren’t a promise of a delivery date.
Free trial, fees and billing
New units start with a free 30-day trial, and no payment details are needed to start it. A unit isn’t charged when its trial ends unless it subscribes. The price and billing period of a plan are shown before you subscribe. Subscriptions renew automatically at the end of each billing period until they’re canceled, and fees are charged in advance for each period. Payments are processed by Stripe; we never receive or store full card numbers. Prices don’t include taxes unless stated. We’ll email unit owners at least 30 days before a price change applies to their next renewal.
Cancellation and refunds
Unit owners and administrators can cancel at any time from Subscription in the portal’s settings, or by emailing support. Cancellation takes effect at the end of the current paid period, and the unit keeps its access until then. Fees already paid aren’t refunded, including for partial periods, unless the law requires a refund.
Your data after cancellation
After a subscription ends or a trial ends without a subscription, we keep the unit’s information for 90 days so the unit can come back or ask for a copy. After that we delete it. Deleted information can remain in backups until they expire on their normal schedule. You can ask us to delete a unit’s information sooner by emailing privacy@scoutkeep.com.
Acceptable use and suspension
Use of the Service must follow the Acceptable Use Policy. We may remove content or restrict or suspend access when it’s reasonably needed to deal with a violation, a threat to anyone’s safety or to the Service’s security, or a legal requirement. When we can, we’ll tell the unit owner first and give a chance to fix the problem.
Availability and other services
We work to keep ScoutKeep available and your information safe, but online services have outages and errors. Don’t rely on ScoutKeep for emergencies or to decide whether an activity is safe. ScoutKeep relies on other companies’ services, such as hosting, email and payments, which have their own terms. Links to other websites are provided for convenience; we aren’t responsible for their content.
Disclaimers and limits of liability
To the fullest extent the law allows, the Service is provided “as is” and “as available”, without warranties of any kind, including warranties of merchantability, fitness for a particular purpose and non-infringement. To the fullest extent the law allows, ScoutKeep isn’t liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, and our total liability for any claim relating to the Service is limited to the greater of the fees your unit paid us in the 12 months before the claim arose or US$100. Nothing in these terms limits liability that can’t be limited under applicable law.
Ending this agreement
You can stop using ScoutKeep at any time, and unit owners can cancel as described above. We may end a unit’s access for a serious or repeated breach of these terms. If we ever stop offering the Service, we’ll give unit owners at least 30 days’ notice and a way to get a copy of their unit’s information.
Governing law
These terms are governed by the laws of the State of Florida and applicable United States federal law, without regard to conflict-of-law rules. Any dispute relating to these terms or the Service will be decided by the state or federal courts located in Florida, and you and we consent to their jurisdiction. This doesn’t take away any rights you have under the laws where you live that can’t be waived.
Changes and contact
We’ll email unit owners at least 30 days before a material change to these terms takes effect and update the effective date above. Continuing to use the Service after a change takes effect means you accept it. Questions about these terms can go to the support email below.
