For families
Calendar and RSVPs
Find events, answer for each person, add guests, and subscribe from your phone.
The Calendar page shows every pack event along with your family's answer for each one. This guide is for parents and guardians. It covers finding events, telling leaders who's coming, bringing guests, and adding the pack calendar to your phone.
Your pack's leaders manage events in their own calendar (such as Scoutbook), and ScoutKeep picks them up automatically. If an event's date, time, or place looks wrong, let a leader know.
Find an event
Open Calendar from the portal menu. Choose how you want to see events with the buttons at the top:
- Month shows a monthly grid. Select a day's number to list only that day's events below the grid, and Show all of that month to go back. Use the arrows to move between months and Today to jump back to the current month.
- Week works the same way for one week at a time.
- List shows upcoming events in order. Choose Show past events to include ones that have ended.
Events your family is going to are highlighted. Each event in the list shows when and where it is, your family's status, and who from your family is coming. Select an event's name to open its page.
Answer an RSVP
Your family shares one RSVP per event, so two parents never count twice.
- Choose RSVP next to the event on the calendar, on the event's page, or in Needs your attention on your family home.
- Under Response, pick Attending, Maybe, or Not attending.
- If you're attending or might, check off who's coming under Which Scouts are attending? and Which parents are attending?
- Choose Save RSVP.
To change your answer later, choose Edit RSVP and save again. If the event has an RSVP deadline, it shows as RSVPs close with the date. After that, you can still say you can't make it; contact a leader to change anything else. Events that don't need an answer, like a school holiday, show No RSVP needed, and events that have ended show Past event.
Depending on the event, the RSVP form may also ask:
- Who is staying overnight? for events with an optional overnight stay. Choose from the people attending.
- Dietary restrictions for events that include food. For each person attending, choose No restrictions, Add restrictions, or Edit to update what's saved. Your answers are kept for future events, so you only change them when something changes.
- Each child's age on the event date, for events with an age limit.
Register for an event
Some events need registration, and sometimes payment, instead of a simple RSVP. On these events you'll see Register for event instead of RSVP.
- Choose Register for event.
- Check off who's coming.
- Choose Save registration.
The event's page shows your registration status and any Registration deadline or Payment deadline. If payment is required and your pack takes payments in ScoutKeep, a View statement link takes you to what you owe. To come back to your registration later, choose View registration. Canceling a registration doesn't refund payments or remove charges. See Your statement and payments for paying.
Add a guest
When an event allows guests, the RSVP form shows Which guests are attending? You can pick up to 10 guests for one event.
Guests come from your family's Saved guests list on My Family, where you choose Add guest, enter a name, pick Adult or Child, and choose Save guest. Guests don't get a login and don't become family members. See Your family's details for more.
Open an event's page
An event's page shows When, Where (with map links), the full description, and a Your family box with your answer and the button to change it. On a phone, the RSVP button stays at the bottom of the screen.
Beside the description, the page can also show the event's Point of contact with Email and Call buttons, any open volunteer tasks, and announcements about the event. Below it are the packing list and any published itinerary and meal plan. See Packing lists and event plans. Choose Copy event link at the top of the page to share it with another parent.
RSVP from Slack
If your pack uses Slack, you can answer without opening the portal. Choose RSVP (or Modify RSVP) next to an event in the ScoutKeep app's Home tab, or RSVP next to an event in the pack's weekly digest. ScoutKeep recognizes you by the email address on your Slack profile, so it works best when that matches the email you use for ScoutKeep.
In the RSVP for your family form, pick Going, Maybe, or Can't make it, check off who's attending, add saved guests if the event allows them, and choose Save RSVP. Your answer shows up in the portal too. Dietary restrictions and event registration happen in the portal. See Connecting Slack.
Subscribe from your phone
You can add your pack's events to the calendar app you already use, and they'll stay up to date on their own.
- On the Calendar page, choose Subscribe.
- Pick Add to Google Calendar or Other calendar app (such as Apple Calendar on an iPhone).
Download .ics saves a one-time copy that won't update. Subscribing is available only after your pack's leaders turn on calendar subscriptions; until then, the page says they aren't turned on yet.
