Equipment

Inventory, storage, check-out and check-in, and gear requests.

The Equipment page keeps track of the gear your pack owns, where it's stored, what shape it's in, and who has borrowed it. This guide is for leaders whose role includes Manage equipment, such as a quartermaster. Equipment appears only if your pack uses it.

To open it, choose Manage Pack at the top of the portal, then Equipment.

Add equipment

  1. Select Add equipment.
  2. Enter a Name, such as "2-person tent" or "Camp stove."
  3. Set the Quantity and the item's Condition: Good, Fair, Needs repair, or Out of service.
  4. Optionally choose a Category and a Storage location. Pick Add a new category… or Add a new location… to create one on the spot.
  5. Add Notes for the next person, such as missing parts.
  6. Check Families can request this if families should be able to ask to borrow it.
  7. Under Photos, select Add photos. Each item can have up to 6 photos (JPEG, PNG, WebP, or HEIC, up to 5 MB each).
  8. Select Add item.

To change an item later, open the Actions menu on its row and choose Edit, then Save changes.

Find gear

Search by name, category, location, or notes, or filter by Category and Location. The Available column shows how many are on the shelf out of how many the pack owns. Items with gear that is past its due-back date are marked Overdue.

Organize storage locations

Select Manage locations to see where the pack keeps its gear, such as "Trailer" or "Church closet."

  • Select Add location to create one.
  • Select Rename to change a location's name. Every item stored there is updated.
  • Select Remove to delete a location. You need to move or retire the items stored there first.

Check gear out

  1. In the item's Actions menu, choose Check out.
  2. Under Lend to, search for a family or one adult and select Choose.
  3. Enter How many.
  4. Optionally choose an event under For an event, set a Due back date, and add notes, such as which tents went out.
  5. Select Check out.

Check gear in

  1. In the item's Actions menu, choose Check in. If more than one borrower has the item, pick whose gear came back.
  2. Enter How many came back. Anything not returned is taken off the inventory.
  3. Set the Condition on return. This becomes the item's condition.
  4. Add notes about any damage or missing pieces, then select Check in.

Each item's History, shown when you open it, lists every check-out and return.

Review gear requests

Families can ask to borrow any item marked Families can request this from their Gear page. When a request comes in, leaders who manage equipment get a notification. If no one has that role, the pack's owners hear about it instead.

Waiting requests appear at the top of the Equipment page under Requests waiting for review.

  1. Select Review on a request.
  2. Check the dates, items, and how many are free. If not everything is free, check gear in first or decline.
  3. Optionally add a Note to the family.
  4. Select Approve and check out to lend the gear right away, or Decline.

The adult who asked gets a notification of your decision, with your note, by email or Slack according to their notification settings. If you decide a request you made yourself, no notification is sent.

Families see what they've borrowed and the status of their requests in Borrowing gear.

Retire and restore items

When gear is worn out or gone, choose Retire from its Actions menu. Check in any borrowed gear first. To see retired items, set Show to Retired. Choose Restore to bring an item back.

Keep your pack on the same page.

Start with your pack’s details and choose the tools that make sense for you.
