Your statement and payments

See what your family owes and pay with PayPal.

This guide is for parents and guardians. It explains your family's Statement, where you see what you owe your pack, pay with PayPal, and let the finance team know you've paid.

The Statement page appears only if your pack uses ScoutKeep for finances. If you don't see it in the menu, ask your leaders how they collect dues.

Read your statement

Open Statement from the menu. At the top, Balance due shows the total your family still owes.

Below it, Your charges lists each charge your pack has added, such as dues or a campout fee. For each one you'll see:

  • Charge: what it's for.
  • For: the Scout it belongs to, or your family for a family-wide charge.
  • Due date
  • Amount: the full charge.
  • Paid: what's been recorded so far.
  • Amount due: what's left.

If you see No charges yet, your pack hasn't added anything to your account.

If your pack's finance team refunds part of a charge or waives what's left of it, Amount, Paid, and Amount due update to match.

Pay with PayPal

When your pack has set up PayPal, unpaid charges show a Pay with PayPal button.

  1. Select Pay with PayPal next to the charge. PayPal opens in a new tab with the amount due filled in.
  2. Send the payment in PayPal.
  3. Come back to your statement and tell the finance team you paid (see the next section).

Some charges may show Pay online instead. That button opens a payment page your pack chose for that charge. Follow the steps on that page. These charges have no I've paid button; your statement updates once the payment is recorded.

Tip: PayPal doesn't tell ScoutKeep about your payment on its own. Reporting it is what gets it recorded.

Tell the finance team you paid

After paying with PayPal:

  1. Select I've paid next to the charge.
  2. Check the Suggested PayPal note. It names the Scout or family and the charge, so the finance team can match your payment. Select Copy note if you'd like to paste it into your PayPal payment.
  3. Under Amount you sent, enter what you paid. It starts at the full amount due, and it can't be more than that. Paying part of a charge is fine.
  4. Optionally, enter the PayPal transaction ID from your PayPal receipt. It helps the finance team find your payment.
  5. Select Send to finance team.

The charge now shows the amount you reported and awaiting confirmation. You can report one payment per charge at a time.

After you report a payment

A leader who manages finances checks your report against the pack's PayPal account. When they confirm it, the payment is added to Paid and your Amount due and Balance due go down. If your pack uses Slack, each parent in your family who has Slack turned on under Delivery channels in their notification settings also gets a Slack message when a payment is recorded. See Your account and sign-in.

If the finance team can't match your report, they may dismiss it. The charge then shows Pay with PayPal and I've paid again. Reach out to your pack's finance team if you think a payment is missing.

Paying another way

If you pay by cash, check, or any other way your pack accepts, hand it to your finance team as usual. They record it, and your statement updates once they do. When nothing on your statement can be paid with PayPal, the top of the page says Payments are recorded by your finance team.

Leaders can learn how charges and PayPal are set up in Finance and PayPal.
