Surveys and event feedback

Ask questions, read the answers, and survey families after events.

This guide is for leaders who collect answers from families: building surveys, reading responses, and the short feedback survey families can get after each event. Surveys appear only if your pack uses them.

Who can manage surveys

Adults whose role includes Manage surveys see Surveys in the leader menu and can run any survey in the pack. Den leaders and assistant den leaders can also create surveys for their own dens from the Surveys page in their den's menu. There they see only the surveys they made for their dens, plus feedback surveys for events limited to their dens. See Leading a den and Adults, roles, and permissions.

Create a survey

  1. Open Surveys. The page is called Survey management.
  2. Select Create survey. The form opens in a panel over the survey list.
  3. Enter a Survey title and, if you like, an Introduction that families read first.
  4. Choose who should respond (see below).
  5. Under One response per, choose Family, Parent, Scout, or Anyone with access. Pick Scout when each child needs their own answer, such as a T-shirt size.
  6. Optionally set a Closes on date. The survey takes answers through the end of that day in your pack's time zone. After that, families can no longer answer it and it leaves their survey list and home page, just like a survey you close. You still see it, with its responses, under Surveys.
  7. Select Create survey.

The survey starts as a Draft that families can't see yet.

Choose who responds

Under Who should respond?, pick an Audience:

  • Everyone in your pack, if you manage surveys for the whole pack.
  • Dens, then check the dens you want. Den leaders can pick only their own dens.
  • Specific parents, then use Find a parent to add each parent by name.

Check Include prospective families if families who haven't joined yet should answer too.

Add questions

  1. In the survey list, select Edit on your survey.
  2. Under Questions, select Add question.
  3. Write the Question and any Help text.
  4. Pick an Answer type:
    • Short answer for a word or a line.
    • Long answer for a paragraph.
    • Choose one or Choose multiple, with one choice per line. Add at least two choices.
    • Question grid, where each line is a row label followed by its choices, like "Saturday: Morning, Afternoon".
  5. Check Response required if people must answer it.
  6. Select Add question.

To change a question, select Edit question, make your changes (including its Position), and select Save question. Delete question also deletes any answers already saved for it. To change the title, introduction, audience, or dates, select Save survey in the Edit survey panel. Closing either panel with unsaved changes asks before discarding them.

Open, close, and delete

Each survey's More menu changes its status:

  • Publish opens a draft so families can answer it. A survey needs at least one question first.
  • Close stops new answers.
  • Reopen starts taking answers again.
  • Delete removes the survey and all its responses. You confirm with Delete survey.

To bring the survey to families' attention, link it to an announcement. See Sending announcements.

Read the responses

In the survey list, select Review responses.

  • Each response is listed with the family and when it was submitted. Select View response to read every answer.
  • The Who has responded panel lists every adult in the survey's audience, people who haven't answered first, each marked Responded or Not yet responded. Den leaders see only the adults in their own dens.

For what families see, read Answering surveys.

Turn on feedback after events

ScoutKeep can send a short survey to the families who took part in each meeting or event. Leaders who manage surveys control this at the top of the Survey management page, in Feedback after events.

  • Select Turn on. Two hours after an event ends, families who checked in get the survey. If nobody took attendance, families who RSVP'd going get it instead. It stays open for 7 days.
  • Select Turn off to stop sending them.
  • Select Edit questions to change the questions every event's survey asks. The standard questions ask how it went overall, what went well, and what could be better. Select Save introduction to keep a new introduction.

Sent feedback surveys appear in your survey list, so you can review their responses there too.

Change feedback for one event

Survey managers can do this for any event. The event's person in charge, and the leaders of the dens an event is limited to, can do it for that event. Open the event from Events in the leader menu and choose Event settings, or den leaders open it from Attendance in their den's menu. The Feedback survey panel lets you:

  • Uncheck Send a feedback survey after this event to skip it for that event. If feedback is off for the pack, check the box to send one for just this event.
  • Select Customize questions to write questions for this event only. Use Edit questions to change them, or Use the unit's questions to go back to the standard set.

After the survey goes out, the panel shows when it was sent, how many families have answered, and when it closes. Select View responses to read them. See Running events for the rest of the event page.

Keep your pack on the same page.

Start with your pack’s details and choose the tools that make sense for you.
