For leaders and admins
Connecting Slack
Den and event channels, the weekly digest, reminders, and Slack sign-in.
If your pack already talks in Slack, you can connect your Slack workspace to ScoutKeep. Families can then RSVP, answer surveys, check their balance, and manage their family without leaving Slack, and ScoutKeep can keep your den and event channels up to date. Connecting Slack and choosing den channels and the weekly digest is for leaders whose role includes Manage adults, roles, and access. Other sections cover event channels and announcements. Slack is optional, and your pack doesn't need it to use ScoutKeep.
Connect your workspace
- Choose Manage Pack at the top of the portal, then Settings, then Integrations.
- Under Slack, select Add to Slack.
- Slack asks a workspace admin to approve ScoutKeep. It asks to see workspace members and their email addresses (so parents can be matched to their families), see channel names and add parents to channels, and send messages.
- Approve the request in Slack. You come back to ScoutKeep, and the status shows Connected.
Each Slack workspace can be connected to only one unit. If the status shows Needs attention, the ScoutKeep app was removed from Slack or its access was revoked. Select Reconnect Slack to turn it back on.
To stop using Slack, select Disconnect. Families can no longer use ScoutKeep in Slack, but their records, RSVPs, and balances stay in ScoutKeep, and you can reconnect at any time.
Tip: ScoutKeep can only post in or add people to channels it has joined. Channels it hasn't joined are marked "add ScoutKeep in Slack first." In Slack, open that channel and add the ScoutKeep app.
Set up den channels
Once Slack is connected, the Den channels section lists each den. Each list shows the channel already chosen. To pick a different one, select Show all Slack channels first.
- Choose a Slack channel for each den, or No channel to skip it.
- Check Post a reminder before den-only events (the checkbox names your pack's reminder times, such as 1 week and 1 day before) for any den that should get event reminders.
- Under Reminders for all of followed by your pack's name, choose a channel for reminders about events that aren't limited to one den, or Don't post reminders.
- Select Save channels.
When a Scout is placed in a den, ScoutKeep adds the family's parents to that den's channel.
Post a weekly digest
The Weekly digest posts your pack's upcoming events to a Slack channel each week, with RSVP and map buttons.
- Check Post a weekly digest.
- Choose a Channel, a Day, and a Time. Times use your pack's time zone.
- Optionally check Mention @channel so everyone is notified.
- Select Save digest.
A Monday digest covers that week. Any other day covers the next week. Below the form, ScoutKeep shows when the digest was last posted, or a warning if it didn't post.
Give an event its own channel
For a campout or outing, you can give the event its own Slack channel. Leaders who manage events and attendance, and the adult in charge of an event, find this in the event's Event settings under Manage events. It isn't on a den's attendance page.
- Open the event, choose Event settings, and find Event channel.
- Select Choose a channel (or Change channel), pick an existing channel, then select Save channel. Or select Create a new channel, enter a Channel name, choose whether it's public or private, and select Create channel.
When ScoutKeep creates the channel, it adds you and the parents of families going, and adds families who RSVP later too. Published itineraries and meal plans are posted there, along with any updates you choose to post. See Packing lists and event plans and Running events.
If ScoutKeep doesn't have permission to create channels, a leader who manages adults, roles, and access needs to reconnect Slack from Integrations.
Send announcements to Slack
When you write an announcement, you can post it in a Slack channel, send each person a Slack direct message, or both. ScoutKeep tells you if some people in the announcement aren't in the channel. They still see it in ScoutKeep, and by email if email is selected. See Sending announcements.
To have announcements come from your own Slack account, open Settings, then Notifications, and select Connect your Slack account under Post to Slack as you. Until you do, ScoutKeep posts them under your name. This section appears only for leaders who can send announcements, and only after your pack has connected Slack.
What families get
Once Slack is connected:
- Families can use the ScoutKeep app in Slack to set up their family, RSVP, answer surveys, and check their balance.
- Signing in from your pack's website or portal offers Sign in with Slack. It works only for people already in your pack in ScoutKeep, matched by a linked Slack account or the same email address. Anyone else is asked to sign in with email.
- Families can choose Slack direct messages for all their notices and event reminders, and link their Slack account so others can message them from the member directory. Anyone ScoutKeep can't reach in Slack gets those notices by email instead.
Families set these up in Your account and sign-in.
