For families
Your family’s details
Family members, saved guests, dietary needs, emergency contacts, and dens.
This guide is for parents and guardians. It covers the My Family page, where you keep your family's people and details up to date, and the My Dens page, where you can see who else is in your Scout's den.
Open My Family from the menu. At the top you'll see your family name, and below it a section for each part of your family record. Changes save as soon as you confirm them, and your pack's leaders see the same information.
Change your family name
- Select Edit name at the top of the page.
- Enter the name your family goes by, without "The" or "Family". ScoutKeep adds "Family" when it shows the name.
- Select Save name.
Invite another parent
Each parent or guardian should have their own sign-in. To add one to your family:
- In the Parents section, select Invite another parent.
- Enter their email under Parent's email address and select Send invitation.
- They get an email with a link to join your family using their own account. The invitation expires in 7 days.
If the other parent is already in your pack's roster, open Invite someone already in the roster in the same window, search for them, and select Send invite. They accept the next time they sign in.
If a parent shows Contact details incomplete, they can add their email or phone number in their own account settings. Only pack leaders can remove a parent from a family.
Add or edit a Scout
- In the Scouts section, select Add Scout, or Edit next to a Scout already listed.
- Enter the Scout's name.
- Choose their den.
- Select Add Scout or Save Scout.
The den you choose decides which den roster, den announcements, and den events your family sees.
Add emergency contacts
Emergency contacts are people your pack can call if a parent can't be reached.
- In Emergency contacts, select Add contact.
- Under Contact source, choose Someone else to type a name and phone number, or choose the option for an adult from your pack to search for someone already in the roster with a phone number.
- Fill in Relationship to family, for example "Grandparent" or "Neighbor".
- Select Add contact.
When you have more than one contact, use Move up and Move down to put them in the order they should be called. To change or delete a contact, select Edit. In that window, Remove asks you to confirm with Remove contact.
Tip: If you fill out a health form online, ScoutKeep fills in your first two emergency contacts for you. See Health forms.
Save guests you bring to events
Saved guests are people who sometimes come along, like a grandparent or a younger sibling's friend. Once saved, you can pick them when you RSVP to an event that allows guests. Guests don't get a sign-in and don't become family members.
- In Saved guests, select Add guest.
- Enter the Guest name and choose a Guest type: Adult or Child.
- Select Save guest.
Use Edit guest to fix a name, or Remove guest to take someone off your list. Removing a guest keeps their past RSVPs and check-ins. For picking guests on an RSVP, see Calendar and RSVPs.
Record dietary restrictions
The Dietary restrictions section lists everyone in your family, including saved guests. You enter them once and they carry over to every event with food. Only leaders running an event with food see them, and only for the people attending.
- Select Edit next to a person.
- Check any choices under Diets and Allergies and intolerances.
- If the allergy needs strict avoidance, check Severe allergy: needs strict avoidance.
- To add anything not listed, select Add other restrictions or details.
- Select Save.
Anyone without an answer shows Not provided yet. When you RSVP to an event with food, ScoutKeep asks you to check these again.
Mark health forms turned in
If your pack tracks health forms, the Health forms section shows whether your family's forms are Turned in or Not turned in for the current school year. Select Mark as turned in after you hand in the paper forms. Learn more in Health forms.
Choose what the directory shows
If your pack uses the member directory, My Family also has Your directory listing, where you choose whether other families see your email and phone number, and Linked accounts. See The member directory.
See your den
Open My Dens from the menu to see each den your Scouts belong to. For each den you'll see:
- The den's leaders, or a note that no den leader is assigned yet.
- Scouts & families: every family in the den, their Scouts, and their parents or guardians. Your own family is listed first and marked Your family.
If you see no dens, add your Scout to a den in My Family first.
